Submit-Ready · AI checking, set up for you

Your own AI system that checks every submission before it's rejected.

We set up Submit-Ready in your workflow. It reads every invoice, tender file, shipment pack and BOQ as it arrives, checks it against the rules and your data, and tells your team exactly what to fix.

  • Team in Muscat, under Oman's data protection law
  • You approve before anything is sent
  • NDA before you share your own records
  • Price agreed in writing before we start
A week of files, one check

Your team only sees the exceptions.

Example week with illustrative numbers. How many files need you depends on your own files.

  1. 01

    Everything arrives

Invoices, tender files, shipment packs, BOQs and bank lines land where they already do: a shared inbox, a folder or an ERP export.

  2. 02

    Every file is read

Arabic or English, PDF, scan or export. Nobody retypes anything.

  3. 03

    Most come back clear

Each file is checked against its own rules and your data. Files with nothing wrong are marked clear.

  4. 04

    Only the exceptions reach you

Your team gets a short list: what is wrong, why, and the suggested fix. Not the whole pile. Our specialists tune it on your real cases.

  5. 05

    You approve. Then they go.

Nothing is sent until someone on your team approves it: the clear files in one go, the exceptions one by one.

The problem

One wrong field, and it comes back.

More and more of what Omani companies submit now goes through a system that checks it automatically. What doesn't match is rejected, disqualified or blocked, and someone has to find out why and fix it, usually close to a deadline.

A receipt printer at a shop counter
INV-2026-0412Buyer VAT number · missing
Fawtara

E-invoices

What goes wrong
A missing required field, such as the buyer's VAT number on a B2B invoice.
What happens
The invoice is rejected. Mandatory from 1 April 2027 for supplies above OMR 5 million.
A stack of tender documents with a stamp
Tender 118/2026Omanisation certificate · expires before closing
Esnad

Tender bids

What goes wrong
An expired certificate or one missing document.
What happens
The bid is disqualified, often found out after the closing date.
Container cranes at a port
SHP-1187Gross weight · 120 kg apart
Bayan

Customs declarations

What goes wrong
The invoice, packing list and bill of lading don't agree.
What happens
Since RD 28/2026 a registered declaration can't be amended, only corrected by written request before inspection.
A claim form and a stethoscope on a clinic desk
Claim 0388Prior approval · missing
Dhamani

Health-insurance claims

What goes wrong
No prior approval, or diagnosis and procedure codes that don't match.
What happens
The claim is rejected; the money arrives late or not at all.

Accounting firms and suppliers quoting from BOQs have the same problem without a portal: month-end packs and quotes built by hand, under time pressure.

Six systems, one engine

Set up for the work you submit.

In order of urgency. Each one starts with a free sample, so you see the output before you pay anything.

Prices in Omani rials, excluding VAT. First clients keep their price for 12 months. All prices →

How to start

Start with a sample. Then let the system run.

  1. Free sample

We run the system on public or fictional files, so you see exactly what it returns.

    Free
  2. Pilot on your files

We set it up for one process, usually in 2–4 weeks, and test it on your past files. The fee is deducted if you continue.

    Setup fee, fixed in writing
  3. Go live

The system checks every new file; your team works on the flags.

    From the second month
  4. System + support

We keep it accurate, update the rules, and report every month.

    Monthly

We are taking on a small number of first clients for each service. They keep their price for 12 months.

Your data

What happens to your files.

NDA
Public or fictional documents need no NDA. Before you share your own records, we sign your NDA or send ours.
Where files are kept
In our access-controlled business workspace, in a separate folder for each client. Identifiable health data waits until our Oman hosting is ready; until then, health work runs on files with personal details removed.
What AI models see
Names, civil IDs and other personal details are removed before any AI model reads a file. We don't use your files to train AI models, and we use AI providers whose business terms exclude training on customer data.
How long we keep them
One-off work: deleted 30 days after we deliver. Ongoing services (monthly books, bid library, price lists): kept while the service runs, deleted within 30 days after you stop. Earlier on request.

Questions

Are you an accredited e-invoicing provider?

No. Invoices go through an accredited provider. We prepare your data and systems and follow up on rejections.

Do you submit anything on our behalf?

No. We prepare and check. You, your accountant, coder or broker submit.

Does it work with our systems?

The first step works from files and exports. Later steps can connect to Zoho, Odoo, Tally, SAP or your HIS.

What if the software gets something wrong?

A person reviews every output before it reaches you, and you review it before it is used. Every flag shows its reason, and anything we can't read is flagged, not guessed.

Is our data used to train AI models?

No. Your documents are used only to do your work.

Who are you?

A team of developers and business specialists in Muscat, with backgrounds in operations, engineering and AI. Contracts and invoices are issued by Lioma Ltd, registered in England and Wales (no. 17094567); we do not have an Omani commercial registration yet. We are taking on our first clients now, so we start with a free sample rather than references.

Pick the service that fits. We will build your first sample.

Tenders and quotes: we build your sample from public information. Claims, Fawtara, customs and accounting: we send a sample file first, so you share nothing until you have seen the format.
